Microsoft Storage Quotas for Affiliates and Contingent Workers

CAHNRS allocates Microsoft storage resources strategically to ensure long-term sustainability and support for the college’s core research, instructional, extension, and operational needs.

Storage increases beyond Microsoft’s default quotas are prioritized for paid WSU faculty and staff and mission-critical Microsoft Teams and SharePoint environments. Affiliates and contingent workers remain within Microsoft’s standard storage limits:

Outlook: 500MB

OneDrive: 1GB

This allows CAHNRS to manage storage capacity responsibly, maintain fiscal stewardship, and reduce long-term cost exposure as storage becomes more directly attributable in future fiscal years.

Collaborative Options for Affiliates

Affiliates who require access to shared materials are encouraged to work within:

Microsoft Teams or SharePoint sites owned by paid faculty or staff

Centrally managed collaboration environments

Unit-supported shared storage solutions, where appropriate

CAHNRS IT continues to monitor Microsoft storage trends and will adjust guidance as institutional policies or fiscal conditions evolve.

Microsoft Storage Quotas for Graduate and Undergraduate Students

CAHNRS aligns student Microsoft storage allocations with university standards to ensure sustainable and equitable use of enterprise resources.

Graduate and undergraduate students are provided the following default Microsoft storage quotas:

  • Outlook: 1GB
  • OneDrive: 1GB

CAHNRS does not increase Microsoft storage quotas for students beyond these default limits.

Additional Storage for WSU Business Purposes

If a student requires additional storage to support official WSU research, instructional, or operational activities outside of Microsoft services, the request must be initiated by the student’s supervisor or Principal Investigator (PI).

Supervisors or PIs may submit a request for collaborative storage space within CAHNRS MyDrive through the CAHNRS Operations Service Center by

Upon approval:

  • Storage space will be provisioned to the PI or supervisor.
  • The PI or supervisor may grant appropriate access to the graduate or undergraduate student.
  • The PI or supervisor retains ownership and responsibility for the storage space.

This model ensures appropriate fiscal oversight, data stewardship, and continuity of research data as student appointments change.
