Windows 7 End of Life

Windows 7 support is coming to an end

Effective 1/14/2020 Windows 7 will no longer receive critical security updates from Microsoft, and WSU will officially end support of the aging operating system.  Users who are still running Windows 7 and who would like to proactively upgrade to Windows 10 can submit a support request to cit.support@wsu.edu for assistance.  Network-attached machines may receive a mandatory update to Windows 10 in January 2020, so if your machine must remain on Windows 7 we recommended removing it from the WSU network.  At this time it is unknown what sort of limitations or behaviors may be experienced by Windows 7 computers on the WSU network; however, we recommend either updating to Windows 10 or removal from the WSU network to prevent unforeseen breakage.

Adobe Connect end of life

Adobe Connect, AKA “Breeze” retiring 12/31/2019

The Adobe Connect server, a flash-based video streaming tool, will be retired on 12/31/2019.  The service has been officially end-of-life for the last year as the industry strips flash support from modern browsers.  Effective 1/1/2020, the Breeze server will be offline, and any integrations or dependencies that rely on it will also be offline.  Anyone still using the platform should make final preparations for the service to be taken offline.

Beginning 4/21/2019 CAHNRS IT is introducing a new form for our ticketing system emails which we hope will improve readability.  Please send feedback or issues on the new email format to cit.support@wsu.edu.

Statistical Process Control

CAHNRS IT has long used statistical methods behind the scenes to monitor our systems and processes.  With the rollout of our new ticket email format, we are, for the first time, extending our statistical methods to publicly visible processes by adding a Yes/No question to the end of closed tickets.  The responses to this question will be captured and feed a real-time p-chart that will help us understand the impacts of process and policy changes as well as staffing and tools changes on our support processes.  If you have any questions regarding this new feature, please send them to cit.support@wsu.edu.

WSU Zoom deployment FAQ

Overview
WSU will be implementing Zoom for both individual faculty and staff, as well as a replacement for the central AMS bridging services used to support meetings and classrooms.  We expect individual Zoom licenses to be made available to faculty and staff by the end of Spring 2019, and for classrooms and meetings to begin using Zoom for Fall 2019.  We are cataloging the Q&A’s associated with this deployment as we receive your questions and learn new information from central ITS.

 

Who will receive Zoom licenses, what licenses will they receive, and will Zoom be used for classes?
Zoom Pro licenses will be deployed to all Faculty and Staff, and Room Connector licenses will be purchased for all video conference enabled rooms.  Both meetings and classes will be streamed over Zoom.  For details on the capabilities of the Zoom Pro license, please review https://zoom.us/pricing.

 

When will Zoom be used for classes and conference rooms?
Both meetings and classes will be streamed over Zoom beginning Fall 2019 as Zoom replaces the physical video conference bridge hosted by AOI and ITS.

 

When will Zoom be available for individual use?
We expect Zoom to be available to Faculty and Staff near the end of the 2019 Spring semester.  There is no exact date at this time, and the timeline could change if more resources are needed to ensure Zoom is ready for academic use by the start of Fall 2019.  Details will be widely announced when accounts are available for use.

 

Will using Zoom for classes change room requirements, or how students connect to their classes?
No, at this time it is not expected that the migration to Zoom will have any impact on what equipment is supported in classrooms or meeting spaces and there is no intent at this time to change policies to allow students to participate in a videoconferenced class from home.  Any change to student participation or room requirement policies will be handled through the appropriate governance committees or bodies, not by the team implementing Zoom.

 

What if I need a Zoom capacity beyond the “Pro” license level?
There will be a pool of licenses for 500 and 1000 participant events that will be available to be checked out on a per-event basis.  This will allow a request to be submitted for a time range in which your account will be able to host 500 or 1000 individuals.

 

Will Skype for Business be going away?
No, Skype for Business will continue to run and be supported.  The long term plan for Skype for Business is that it will be phased to the Microsoft hosted version of the service called Office 365 Groups, which are targeted at team collaboration.

 

 

Will Zoom have a toll-free dial-in number?
At this time ITS is not planning on including a toll-free dial-in option.  The reason to not include the dial-in option is to avoid the need for internal billing, which would create a cost-burden for the service.  Fee’s can be avoided by connecting through the Zoom mobile app over the internet.  Additionally, if you need to host an event for which toll-free dialing is critical, please submit a ticket to cit.support@wsu.edu so we can help address your need.

CAHNRS Accessibility Goals

CAHNRS Colleagues,

Recently, those of us who produce web-based academic materials, update websites or publish research online have been presented with the challenge and opportunity to improve the accessibility of our content.  These efforts have been spurred on by WSU’s commitment to the Department of Education to improve our online accessibility, as well as changes in technology standards that now allow us to pursue the ideal of universally accessible information on the web.

Though WSU is still in the early stages of inventorying web content and finalizing a web accessibility strategy, CAHNRS has begun identifying ways in which we can enhance our unique mission of Research, Education, and Outreach in the State of Washington with updated technologies that will further expand our audience.  With this goal in mind, CAHNRS has identified new Web Accessibility Goals which will serve as guiding principles in our effort to improve accessibility within the college.  In summary, CAHNRS will work to

  • improve our online authoring tools to naturally encourage and support the creation of accessible content,
  • provide instruction and training for web authors on the importance of accessible content,
  • and define a process by which our constituents can request accessible formats for materials they currently struggle to access.

Please rest assured that inhibiting the publication of valuable research and educational materials is the antithesis of the intent behind the WSU accessibility initiative and that CAHNRS approach to accessibility will be a thoughtful, iterative process of improvement.

AWS – Delegated Accounts

Overview

Amazon Web Services (AWS) is a cloud-based technology provider that offers a self-service pay-as-you-go model for computing resources.  The AWS model gives you the flexibility to manage your environment, and use and pay for exactly the services you need.  WSU and AWS are finalizing our Enterprise Agreement, including agreements that will make AWS an ideal way to distribute data over Internet 2.  Some examples of AWS tools and uses include

  • Prebuilt Machine Learning tools such as SageMaker
  • Big Data toolkits such as Elastic MapReduce
  • Security controls for managing regulated data with HIPPA, NIST, or other contract requirements
  • Cloud Virtual Desktops for distance students, teleworkers, or frequent travelers
  • Hosting datasets to be shared with Internet 2 partner institutions at up to 100Gbps

Cost

AWS uses a pay-as-you-go model, meaning that each service has a price list based on utilization.  For example, most EC2 (virtual machines) are paid for by the hour, though you can reserve capacity annually for a discount.  Remember that when looking at service prices, most prices are going to have a unit of cost/(time*unit), e.g., $0.3/(Gb Month).  AWS also provides a Simple Monthly Calculator to help you budget your anticipated expenses.

Many AWS services also have a free tier of service with size and time restrictions.  For example, you can run a small EC2 instance (virtual machine) for up to a year for free.  A full list of free tier offerings is listed on their Free Tier Details page.  AWS free tier services are a great, no-cost way to familiarize yourself with AWS.

Each AWS account can also be configured with spending alerts, to help prevent spending more than you budgeted.

Requesting an Account

If you don’t have an account already, we can create one for you.  If you would like an account to test the free-tier services, we can provide you with the account at no cost, and preconfigured with budget notifications to alert you if you start to incur any costs.  If you know you would like to use the account for real WSU work right away or are ready to deploy services after testing with the free tier; then there is a small setup cost which covers the physical multi-factor key for the root login on the account.

Changes to Hulbert and Vogel Lab Scheduling

Changes are being made to the process of scheduling and reserving lab spaces in Hulbert and Vogel.  The scheduling changes are being made to improve the ability to self-serve room reservations while ensuring that academic classes retain priority access.  Once this change is in effect, CAHNRS IT will no longer schedule meetings in affected spaces and instead will provide instructions on how to reserve the rooms.  The affected laboratory spaces include

  • CAHNRS Lab Hulbert 5,
  • CAHNRS Lab Hulbert 21,
  • CAHNRS Lab Vogel 31,
  • CAHNRS Lab Vogel 35,
  • CAHNRS Lab Vogel 39,
  • CAHNRS Lab Vogel 43.

Beginning Monday, August 20th, 2018, resource calendars will be available for the above laboratories.  Faculty and staff in CAHNRS will be able to schedule a meeting or event in the laboratory spaces by creating an Exchange/Office365 meeting and inviting the appropriate resource calendar to the meeting.  Requests will be automatically accepted if they do not conflict with an existing event, making these spaces first come first serve, except for academic classes.

The scheduling of classes will take priority over any other event scheduled in these spaces.  At the start of the semester, CAHNRS Operations will review the official course listings, and create the reoccurring meetings for each class in the appropriate laboratory space.  When a conflict arises, we will send a notice to the event organizer canceling their reservation for the laboratory space.

Academic Coordinators can elect to directly create meeting events for their classes on these calendars by creating a reoccurring meeting, but this is not necessary.  If you choose to create entries for your department’s courses directly, please adhere to the naming convention of “Department – Course Number – Section” when scheduling the meeting.  For all other events planned in the laboratory spaces, please use descriptive names.

CAHNRS Operations will continue to post a print-out of the reoccurring course schedule outside of each of these spaces.  However, for the time being, you will need to look at the room’s resource calendar to see the current non-course meetings.  CAHNRS IT is evaluating digital signage solutions that will allow a real-time schedule to be visible outside of each space at all times.

Finally, please note that generally these spaces are locked or have limited accessibility outside of regular business hours, Monday through Friday, 8 am to 5 pm.  If you are scheduling an event outside of this time window, please plan accordingly.

Changes to departmental mailboxes – 9/4/2018

WSU Information Technology Services (ITS) is in the process of completing the conversion of Departmental Mailboxes into Shared Mailboxes, a required step for WSU after the Office 365 migration.  Shared Mailboxes, like Departmental Mailboxes, are mail accounts not tied to an individual.  However, permissions for Shared Mailboxes are administered centrally, and those with access will automatically see their Shared Mailbox appear in their Outlook and Office 365 (office365.wsu.edu).

The conversion of Department Mailboxes has been postponed from Thursday, August 16 to Tuesday, September 4th.  The current owner of the Departmental Mail account will automatically be granted access to the converted Shared Mailbox.  If additional individuals will need access to the Shared Mailbox, please submit a ticket to CAHNRS IT https://support.it.cahnrs.wsu.edu or send an email to cit.support@wsu.edu with a list of additional Network ID’s that you wish to have access.

The newly converted Shared Mailbox will be added to your existing email account as a separate (mailbox) entry in Outlook.  When a client needs to send a message as the Shared Mailbox, they will select the From field in Outlook and select the Shared Mailbox as the sender.  The Shared Mailbox can be accessed using the Office365 web interface by adding a shared folder.

Project Status

Operations and the Business Center has determined a standard set of naming conventions, and are in the process of bulk creating the organization structure of CAHNRS, in Cougar Manager.  We have identified all of the positions and employees to be entered, and have begun adding them.  As we finish a unit’s structure, we will send a notification to the department admin and unit head asking for them to review and approve the structure.  This is a significant data entry project, but we expect to be complete by close of day 1/26/18.

Continue to use Timekeeper until February 1st

For now please continue to use Timekeeper to record hours worked, and only begin using Cougar Manager to record time worked starting February 1st.

New email list manager

Introduction to Dada Mail – Video Primer

On 1/13/18 CAHNRS IT retired the Lyris email list manager, and stood up a replacement list manager called Dada Mail.  The primary reason to retire Lyris was due to increasing costs.  While Lyris had been increasing in cost year over year for some time, the most recent renewal, a 300% increase, was untenable.  Despite the short time frame, we decided the best course of action was to retire Lyris and begin testing alternatives.  After installing and testing PHPlist, Dada Mail, and Group Server, it was determined that Dada Mail provided the functionality most used by CAHNRS mailing lists.

To facilitate the migration to the new list manager we have migrated the lists that were in Lyris to the new system.  However, because of differences in the list managers, some action is necessary on the part of list owners to complete the migration.  In Lyris each list owner had a user account and could administer multiple lists with a single login.  In Dada Mail, each list has a list password which grants access to the administrative interface for the distribution list, and each list has a collection of subscribers or recipients.  In order to facilitate the migration to the new system, we need each list owner to submit a support request through our support portal at https://support.it.cahnrs.wsu.edu or by emailing cit.support@wsu.edu with the following information:

  1. The name of your mailing list.
  2. The email addresses of your authorized senders OR tell us you want your list to be a discussion list that all members can send to.

Update 1/19/2018 5:13pm – You do not need to send us the members/subscribers of your mailing list.  The lists and their members have been moved, we just need to know who the official owner is and give them the list password.

Once submitted, you will first receive the list password, allowing you to login at http://lists.cahnrs.wsu.edu/cgi-bin/dada/mail.cgi/admin and begin sending mailings to your list.  Next, if you requested the ability to send messages via email you will be notified when your list is ready to receive email based messages and that the list of authorized senders has been put in place.

Note that there are two outstanding functionality limitations that we are currently working to resolve:

  1. Messages sent for distribution to the list by email is currently being blocked by WSU’s spam mail service, Proof Point.  This prevents recipients with WSU addresses from receiving messages sent to the list by email.  We are actively working with ITS to resolve this issue, but in the mean time if your distribution list is internal to WSU we recommend sending messages from the web interface.  Until then, if your list includes WSU email addresses, please use the web interface to send messages.
  2. We currently have a support request with the vendor regarding attachments on messages sent from the web interface not properly uploading.

As we work to resolve these issues we will update this post.

Lastly, we have begun a FAQ at https://wiki.cahnrs.wsu.edu/wiki/79/dada-mail-faq.  As we receive questions we will expand our FAQ, and work to provide information on the new features available.
